ASSISTANT TO THE DIRECTOR (Full-Time)

Position Summary: Seeking an experienced executive assistant to provide high-level administrative support to the Director and senior staff.

Responsibilities:  

• Manage Director’s calendar, including scheduling meetings, conference calls, and speeches

• Coordinate Director’s and senior staff travel, including scheduling, confirming, and preparing itineraries
• Manage Director’s and senior staff expense reimbursements and payments to vendors, including reviewing, submitting for approval, and tracking of payment status
• Assist the Director with departmental/professorial tasks as needed
• Maintain Director’s contacts and databases and manage email accounts
• Liaison and coordinate work with advisory boards, funders, research partners, and Teachers College administration on behalf of Director and senior staff
• Track project deliverables and alert senior staff of upcoming deadlines
• Assist the Director and senior staff with the organization and submission of proposals and progress reports
• Organize and host conferences, events, and meetings
• Attend meetings, record and distribute notes, follow up on action items, and draft correspondence for Director and senior staff
• Proofread, copy-edit, and format publications, proposals, reports, meeting materials, presentations and correspondence
• Research, purchase, maintain, set up equipment and troubleshoot and rectify technological issues for Center staff
• Assist senior staff with project related tasks
• General office administrative/reception tasks as needed
o Answer, screen and forward incoming telephone calls
o Screen, sort, distribute and respond to incoming mail
o Update Director’s CV and bio statement, in print and for the website
o Conduct library and internet research
o Assist with general dissemination/communications efforts
o Manage inquiries that come into the Center (and respond to or direct appropriately)
o Filing, faxing, duplicating and other tasks as needed

Minimum Qualifications:

• Bachelor’s degree
• A minimum of two years of experience supporting high-level executive(s) staff in a fast-paced, demanding environment
• Demonstrated judgment and discretion in handling confidential matters
• Excellent oral and written communication skills
• Excellent library and internet research skills
• Superior editing skills: position includes a high level of proofreading, editing, and advanced formatting in Microsoft Word, Excel, and PowerPoint. Candidate should be able to suggest revisions and make basic editorial and formatting changes to reports and papers.  A computer-based formatting/proof reading/editing assignment will be part of the interview process
• Ability to compile, assimilate, organize, and analyze printed and electronic information
• Advanced proficiency with Windows
• Advanced proficiency with Microsoft Office
• Intermediate proficiency with Macintosh operating system
• Knowledge of computer hardware and ability to learn new software programs and troubleshoot problems through on-line help services and written manuals
• Strong organizational, follow-up, and time management skills with careful attention to detail
• Ability to multitask, prioritize assignments, meet deadlines and take initiative in a fast-paced, highly productive office environment
• Ability to work as a team player: resourceful, dependable, excellent interpersonal skills
• Ability to travel to 1–2 conferences per year if required.  
• Participation at staff meetings and seminars is also required

Preferred Qualifications:

• Three to five years of high-level administrative experience, supporting executive staff in a demanding and fast-paced environment
• Project management experience
• Interest in community colleges and higher education
• Advanced Macintosh skills
